The list of required documents
Confidential relations in the field of transport and forwarding activities in Ukraine are regulated by the Civil Code of Ukraine, the Economic Code of Ukraine, the laws of Ukraine "On Transport", "On Foreign Economic Activity", "On the Transit of Cargoes", "On Freight Forwarding", other laws, transport codes and charters, as well as other regulations that are issued in accordance with them. According to these normative documents, the following documents are necessary for cargo transportation in Ukraine.

For import of cargo the following documents are necessary:

  • Three original bill of lading , certified on the back of the seal of the recipient's company. If the bill of lading "order" - 3 original bill of lading + seal the sender on the back + "Order letter". A bill of lading is a document issued by the carrier to the cargo owner. It verifies the ownership of the shipped goods.The bill of lading performs several functions:
    • Receipt of the carrier in receiving of cargo for transportation, with a simultaneous description of the apparent condition of the goods;
    • a consignment note;
    • contract of carriage of goods;
    • document of title.
  • The original letter of the order from the sender ("Order letter"), if the recipient is indicated in the bill of lading "TO ORDER" ("order" bill of lading). In the letter, the manager must indicate the recipient's company.
  • Original power of attorney for forwarding and transport services from the recipient.
  • Original invoice Ccmmercial invoice with translation into Russian or Ukrainian. Invoice - in international commercial practice, the document provided by the seller to the buyer, it contains the list of goods, their quantity and price at which they will be delivered to the buyer, the formal features of the goods (color, weight, etc.), delivery conditions and information about the sender and Recipient. In the Ukrainian practice, there is no analogue to the invoice. The invoice is usually applied only for international shipments of goods. Partially the invoice corresponds to our document "invoice for payment". An invoice is a document of a strictly established format that is issued by the seller to the buyer's name after the buyer has accepted commodity. The invoice consists of the list of goods or services delivered, their prices, the number of the shipping document, the amount of the invoice, and other requisites. The invoice is a document used exclusively for the purposes of tax control, and therefore is not an analog of the invoice.
  • Original packing list with translation into Russian or Ukrainian.
  • Certificate of origin of commodity or a copy.
  • Product code FEACN - Foreign Economic Activity Commodity Nomenclature.
  • Number of PP or PD.
  • A copy of the foreign economic contract.
  • A copy of the registration card (Oblikova Kartka) of the subject of foreign economic activity. Also there can be necessary the following documents:
  • Certificate of conformity to public standart if the commodity is the subject to mandatory certification. If the goods are subject to certification, and according to the description - no, then a letter from the public standard is required that the goods are not subject of certification. Permits: veterinary certificate, sanitary-epidemiological conclusion, hemological conclusion, quarantine permit (IQP - import quarantine permit), environmental permit, energy-saving expertise and the like.
  • Certificate of Quality
  • Fumigation certificate (for consignments of vegetable origin).
  • Phytosanitary certificate (for consignments of vegetable origin).
  • Veterinary certificate (for goods of animal origin).
  • Import quarantine permit (for food).
  • Certificate of conformity (for food).
  • Sanitary and hygienic conclusion (original).
  • A dangerous cargo card, indicating the hazard class and the IMO number (for dangerous goods).
  • Letter of explanation ("Sheet of roses"), (+ 1 copy with the stamp of the recipient's company).

For export of cargo into Ukraine, the following documents are necessary:

  • Cargo customs declaration (CCD) CCD is issued by the cargo manager and certified by the customs inspector, serves as the basis for passing through the border. The declaration contains information about the cargo and its customs value, the vehicle carrying the delivery, the sender and the receiver.
  • Original CMR (International Commodity Bill) CMR is an international consignment note that is applied under the Geneva Convention on the Contract for the International Carriage of Goods by Road (CMR): The Convention applies to any contract for the carriage of goods by road for remuneration by means of vehicles, Cargo loading and the place of delivery of the commodity 2specified in the contract are on the territory of two different countries, of which at least one is a party to the Convention; The Convention does not regulate customs or tax matters, and the CMR applied under this Convention is a shipping document and does not replace a customs declaration.
  • Original invoice in Ukrainian or Russian. Invoice - in international commercial practice, the document provided by the seller to the buyer, it contains the list of goods, their quantity and the price at which they will be delivered to the buyer, the formal features of the commodity(color, weight, etc.), delivery conditions and information about the sender and Recipient. In the Ukrainian practice, there is no analogue to the invoice. The invoice is usually applied only for international shipments of goods. Partially the invoice corresponds to our document "invoice for payment".
  • Packing sheet (data on packaging, weight and number of seats for the expected consignment for each item)
  • Certificate of origin.
  • Phytosanitary certificate (for products of vegetable origin).
  • Veterinary certificate (for products of animal origin).

Necessary document for transportation of cargo:

  • Three original bill of lading, signed by the consignee, with its seal on the reverse side. A bill of lading is a document issued by the carrier to the cargo owner. It verifies the ownership of the shipped goods.   • In the case, if in the consignment is not written the name of the receptionist, then letter of instruction (To Order) is necessary.

  • Original power of attorney from the recipient for forwarding and transport services.
  • nstructions for completing the IFI (international freight invoice), specifying data on the customs terminal (terminal address, customs warehouse name, terminal license number). Also, depending on the character of the cargo, the following documents can be necessary:
  • Certificate of quality.
  • Phytosanitary certificate (for consignments of commodity of plant origin).
  • Veterinary certificate (for cargo of animal origin).
  • IQP (import quarantine permit).
  • Certificate of conformity to public standart.
  • Fumigation certificate (for a consignment of vegetable origin).
